Fathom Review (2026): Free Plan, Pricing and Who It's For
Buying for a small business? Fathom is in our best AI tools for small business, best free AI tools for small business and small-business AI cost guide, with real prices for small teams.
Fathom is an AI meeting note-taker that records your calls, transcribes them and writes a summary as soon as the meeting ends. Its pitch is simple: individuals can use it for free with no cap on recordings, and teams pay per seat for shared libraries, admin controls and sales features. In 2026 it also added a bot-free capture mode, an iOS app for in-person conversations and support for 20 more languages on its newest version. This review explains what each plan includes, where the limits are, and who should pay for which tier.
Like every review on this site, this is a research-based assessment built from Fathom’s pricing page, its help center release notes and recent independent coverage. We don’t claim hands-on testing and we don’t publish accuracy or speed figures we can’t source. Scores come from our published rubric.
What Fathom is
Fathom joins your video calls, records them and produces a transcript, a summary and a list of action items. You can clip moments from a call, group recordings into playlists, search across past calls and ask questions about them with Ask Fathom, its built-in assistant. Recordings and notes can be pushed to other tools: the pricing page names HubSpot, Salesforce, Slack, Asana, Zapier, Make, ChatGPT and Claude among its integrations.
Two capture modes are on offer. The classic option sends a meeting bot into the call. The newer bot-free option, still labeled beta on the pricing page, records without a visible participant. Fathom’s release notes say bot-free video recording on Google Meet became available for Mac users on Fathom 3.0 in October 2026 and requires the Chrome extension. Independent coverage describes the mode as part of a broader Fathom 3.0 update earlier in the year, but the details we can confirm come from Fathom’s own notes.
Other recent changes from those release notes: an iOS app on the App Store for in-person conversations (October 2026), eligibility for Fathom 3.0 in 20 more languages including Arabic, French, German and Japanese (October 2026), a default language setting for post-call summaries (September 2026), and auto-capture for impromptu Slack Huddles (June 2026).
Plans and pricing
| Plan | Price | Billing | What you get |
|---|---|---|---|
| Free | Free | Monthly | Unlimited recordings and transcripts, instant summaries |
| Premium | $16/mo | Annual | $20 billed monthly; advanced summaries, action items |
| Team | $15/user/mo | Annual | $19 billed monthly; 2-user minimum, shared library |
| Business | $25/user/mo | Annual | $34 billed monthly; 2-user minimum, CRM field sync, coaching metrics |
| Enterprise | $35/user/mo | Annual | Annual only; SSO, SCIM, custom data retention, dedicated success manager |
Prices in USD, excluding tax. "Annual" means the per-month rate when billed yearly. Last verified November 5, 2026 against Fathom's pricing page.
We read these figures on Fathom’s pricing page today. Fathom shows annual and monthly prices side by side and says annual billing saves 25% or more.
Free ($0). For individuals. It includes unlimited recordings and transcriptions, bot or bot-free capture, instant AI call summaries, clips, playlists and search across your calls. Several AI features, including Ask Fathom and AI action items, are marked “limited use,” and the pricing table doesn’t spell out the exact allowance. Several independent pricing write-ups this year describe the free plan as capping advanced AI summaries at five calls a month; Fathom’s page doesn’t state that number, so treat it as reported rather than confirmed.
Premium ($16 a month annually, $20 monthly). Also for individuals. It adds advanced call summaries, AI-generated action items, a conversational meeting assistant and a custom meeting bot. This is the plan for a solo consultant or founder who lives in meetings and hits the free plan’s AI limits.
Team ($15 per user annually, $19 monthly). Requires at least two users. It adds a shared workspace with folders, comments, mentions and playlists, plus trackers, search and Ask Fathom across the team’s calls. It also includes team security controls and HIPAA compliance with a standard BAA. Note that Team costs less per seat than Premium, so two people are better off on Team than on two Premium plans.
Business ($25 per user annually, $34 monthly). Requires at least two users. It adds CRM field sync, which writes meeting details into specific fields in HubSpot or Salesforce, a Deal View, coaching metrics, AI scorecards and custom summaries for your organization.
Enterprise ($35 per user, annual only). Adds hands-on implementation, custom-built summaries, SSO and SCIM provisioning, custom data retention, eligibility for a custom BAA and priority support with a dedicated success manager. Earlier this year we listed Enterprise as custom pricing; Fathom’s page now shows a per-user figure.
For small businesses
A two-person team pays $30 a month on Team billed annually, or $38 billed monthly. A five-person sales team on Business pays $125 a month billed annually. The two-user minimum on both team plans means a solo owner should stay on Free or Premium. Key features
- Unlimited free recording. The free plan’s unlimited recordings and transcripts are the main reason Fathom tops our meeting note-taker rankings.
- Instant summaries and action items. Summaries are ready when the call ends; action items are a Premium feature with limited use on Free.
- Ask Fathom. Ask questions about a single call or, per the October release notes, across your account using keyword search over titles, participants and transcripts.
- Bot-free capture (beta). Records without a visible bot. Organization admins can block it so every meeting uses a bot, or enforce an automated consent message in the meeting chat.
- CRM field sync. On Business, meeting insights go into specific HubSpot or Salesforce fields, and users can add or remove deals on calls.
- Admin controls. Team admins can set default auto-capture and visibility rules for external, internal and unscheduled meetings.
- API and webhooks. The release notes describe recording downloads, a sharing field and test webhooks for developers.
Our rubric scores Fathom 8 out of 10 for features: the core note-taking is complete, but its integration list is shorter than Fireflies.ai ’s.
Who it’s for
| If you… | Choose |
|---|---|
| Record your own calls and want notes for free | Free |
| Are a solo professional who needs full AI summaries and action items | Premium |
| Run a small team that wants a shared call library | Team (2-user minimum) |
| Run a sales team that logs calls into HubSpot or Salesforce | Business (2-user minimum) |
| Need SSO, SCIM or custom data retention | Enterprise |
Fathom suits consultants, recruiters, founders and customer-facing teams that hold many video calls and want notes without paying per minute. Healthcare and other regulated teams get a BAA on Team and above, which is unusual at that price.
Limitations
- Free-plan AI limits are vague. The pricing page marks several AI features as “limited use” without publishing the allowance, so you may only find the limit when you hit it.
- Two-user minimum on team plans. A business with one paid user can’t buy Team or Business.
- CRM field sync only on Business. Teams that want structured CRM updates pay $25 per user, not $15.
- Bot-free capture is still beta. Fathom’s own notes describe a staged rollout, with Google Meet bot-free video on Mac arriving in October.
- Fewer integrations than Fireflies. If you need notes flowing into many project tools, compare the lists first.
- Support. Our rubric scores Fathom 7 out of 10 on support; dedicated success management is an Enterprise feature.
How it compares
Our Fathom vs Fireflies comparison goes through the two side by side: Fathom wins on the free plan, ease of use and value, while Fireflies wins on seat price and integrations. Our best AI meeting note-takers guide also covers Otter.ai for live transcription and tl;dv for summaries across many meetings. Freelancers can see where Fathom fits in a solo stack in our best AI tools for freelancers, and anyone on a tight budget should read our free AI tools for small business list. Current prices for every tool are in the AI tools pricing tracker and the meetings category.
Verdict
Fathom earns an overall score of 8.5 out of 10 on our rubric, led by pricing, ease of use and value (9 each), with features at 8 and support (7) as its weakest area. It is the easiest recommendation in AI meeting notes for individuals, because the free plan records and transcribes without a cap.
Upgrade to Premium only if you regularly need full AI summaries and action items on your own. Small teams should go straight to Team, which costs less per seat than Premium and adds a shared library and a BAA. Sales teams that want call notes written into their CRM should budget for Business. If your priority is the cheapest paid seat or the longest integration list, check Fireflies before you commit.
FAQ
Is Fathom really free?
Yes. Fathom’s pricing page lists a $0 plan for individuals with unlimited recordings and transcriptions, instant AI call summaries, clips, playlists and search across calls. Some AI features, such as Ask Fathom and AI action items, are marked limited use, and team features need a paid plan.
How much does Fathom cost?
Premium costs $16 a month billed annually or $20 monthly. Team costs $15 per user billed annually or $19 monthly, and Business $25 per user billed annually or $34 monthly. Both team plans need at least two users. Enterprise is listed at $35 per user, billed annually only.
Does Fathom work without a bot joining the call?
Fathom offers bot-free capture as a beta option alongside its classic meeting bot. Its release notes say bot-free video recording on Google Meet reached Mac users in October 2026 and needs the Chrome extension. Admins on team plans can block bot-free capture or require a consent message.
Is Fathom HIPAA compliant?
Fathom’s pricing page says the Team and Business plans include HIPAA compliance with a standard business associate agreement (BAA), and Enterprise is eligible for a custom BAA. The free and Premium plans are not listed with a BAA, so healthcare teams should budget for at least Team.
Is Fathom better than Fireflies?
For most individuals and small teams, yes, because Fathom’s free plan is far more generous. Fireflies has cheaper paid seats and a wider integration list, which suits teams pushing notes into many apps. Our Fathom vs Fireflies comparison breaks down the differences category by category.
