Fathom vs Fireflies (2026): Which AI Note-Taker Should You Pick?

Quick answerFathom is the better choice for most individuals and small teams because its free plan includes unlimited recordings and transcripts. Fireflies is the better choice for teams that want cheap seats and broad integrations, starting at $10 per seat a month billed annually versus $15 for Fathom Team.

Fathom and Fireflies are two of the most popular AI meeting note-takers, and they solve the same basic problem: record a call, transcribe it, and turn it into a summary and action items. Where they differ is in who they’re built for. Fathom leads with a free plan that individuals rarely outgrow. Fireflies leads with integrations and low per-seat prices for teams.

We compared them on our published rubric using each vendor’s pricing page, plan documentation and recent independent pricing write-ups. This is a research-based comparison, not a hands-on test, so we don’t publish transcription-accuracy figures; vendor accuracy claims can’t be independently verified and depend heavily on audio quality.

Fathom’s prices come straight from its pricing page, checked today. Fireflies’ pricing page did not display prices when we checked, so its figures come from multiple recent independent sources that agree with each other, including one that reported verifying them on Fireflies’ page in August 2026. Treat Fireflies prices as reported and confirm on the vendor’s site before you buy.

The headline numbers, per seat per month:

TierFathom (annual / monthly)Fireflies (annual / monthly)
Free$0$0
Individual paidPremium: $16 / $20Pro: $10 / $18
TeamTeam: $15 / $19 (2-user minimum)Pro: $10 / $18
Business$25 / $34 (2-user minimum)$19 / $29
EnterpriseCustom$39, annual only

Three things stand out.

  • Fireflies is cheaper per seat at every paid level. Its Pro plan at $10 billed annually undercuts both Fathom Premium ($16) and Fathom Team ($15), and Fireflies Business ($19) is $6 less than Fathom Business ($25).
  • Fathom is cheaper for individuals. Most solo users can stay on Fathom Free indefinitely, while Fireflies Free is limited enough on storage that regular users will hit the ceiling.
  • Monthly billing narrows the gap. On monthly billing, Fireflies Pro is $18 and Fathom Team is $19, so the difference almost disappears. Fireflies’ discount is mostly an annual-billing discount.

Note Fathom’s two-user minimum on Team and Business. A solo consultant who wants Fathom’s paid features buys Premium; a team of two or more pays for at least two seats.

Free plans: Fathom’s biggest advantage

This is the clearest difference between the two products.

Fathom’s pricing page describes Free as “free forever” for individuals, with unlimited recordings and transcriptions, bot-free capture (in beta) or a meeting bot, instant AI call summaries, clips, playlists and search across calls. There is no monthly minute cap on recording.

Fireflies Free is a trial-sized plan by comparison. Recent sources list 400 minutes of storage per team and 20 AI credits, and Fireflies’ own FAQ says the free plan lacks advanced exports, app and CRM integrations, and Zapier audio transcription. At typical meeting lengths, 400 minutes is a handful of calls before you need to delete recordings or upgrade.

If you’re an individual who wants good meeting notes without paying, Fathom wins this category outright.

Fathom. Premium adds advanced call summaries, AI-generated action items, a conversational meeting assistant and a custom meeting bot. Team adds global search across the team’s calls, highlight playlists, comments, folders and keyword alerts. Business adds the feature sales teams care about: CRM field sync, which writes meeting insights into specific fields in your CRM, along with a deal view, coaching metrics and AI scorecards. Enterprise adds SSO, SCIM provisioning, custom data retention and a dedicated success manager.

Fireflies. Pro adds a monthly allowance of transcription credits with no rate limits on the meeting bot or Chrome extension, advanced exporting, app and CRM integrations, and Zapier audio transcription, with reported storage of 8,000 minutes per seat. Business adds unlimited storage, conversation analytics, video recording, private channels and higher team API limits. Enterprise adds private storage, HIPAA and FERPA support (with private storage), SSO, SCIM, audit logs and invoice billing, with volume discounts above 50 members.

The pattern: Fireflies puts integrations in its cheapest paid tier, while Fathom saves its most useful sales feature, CRM field sync, for Business.

Integrations and platform coverage

Fireflies is built around getting meeting data into other systems, and its integrations start at the $10 Pro tier. Recent comparisons also credit it with broader meeting-platform coverage, including Webex alongside Zoom, Google Meet and Microsoft Teams, and broader language support; Fireflies markets transcription in more than 100 languages.

Fathom covers Zoom, Google Meet and Microsoft Teams. Its pricing page lists CRM syncs, and its Business plan’s field-level sync is aimed squarely at HubSpot and Salesforce users who want call notes to update deal records rather than sit in an activity log. Independent sources give conflicting figures for Fathom’s language count, so we don’t quote one; check Fathom’s help center if you transcribe in languages other than English.

Fathom: best for individuals and simple team setups

Fathom’s appeal is simplicity. The free plan is genuinely useful, the paid ladder is easy to read, and there are no credit meters to track. On our rubric it scores 9 for ease of use and 9 for value, the highest of the two.

The trade-offs are price per seat for teams, the two-user minimum, and that CRM field sync only arrives at $25 per user annually.

Fireflies: best for integration-heavy teams

Fireflies scores higher on features (8.5 to 8) because integrations, analytics and wide platform coverage come at lower price points. For an operations or sales team that wants meeting notes flowing into other tools, it’s the more economical buy, especially on annual billing.

The downsides: a restrictive free plan, a separate pool of AI credits to keep track of, and a pricing page that didn’t show prices when we checked.

Both tools record other people. Recording-consent laws vary by state and country, and some require every participant to agree. Announce recording at the start of each call, check each vendor’s retention settings, and for regulated data such as health information, use only a plan with the compliance features you need and a signed agreement.

Final verdict

Fathom is the better pick for most individuals and small teams. Its free plan does what most people need, and its paid plans are simple. Fireflies is the better pick for teams that want integrations at the lowest per-seat price, especially if they commit to annual billing.

On our rubric, Fathom edges ahead overall thanks to its ease-of-use and value scores, while Fireflies wins on features. Start with Fathom Free; if your team outgrows it and needs integrations more than CRM field sync, trial Fireflies Pro before committing to a year.
