Best Free AI Tools for Small Business (2026)
Small businesses don’t need to spend anything to start using AI. Most of the tools we track have a free plan, and several are generous enough to run real work on. The trick is knowing where each free plan stops, so you aren’t surprised mid-month.
We picked eight free plans that cover the jobs a small business does every week: writing, research, meetings, design, customer chat and email. Every limit below comes from the vendor’s pricing page or, where that page blocks automated reading, several recent independent sources, checked against our pricing tracker. We have not tested these products hands-on; rankings use our rubric.

1. ChatGPT Free: best free all-round assistant
ChatGPT’s free plan handles the everyday writing a small business needs: replies to customers, social posts, product descriptions and first drafts of policies. It runs on the standard model with limited messages and uploads, and US users on Free (and the $8 Go plan) see ads.
When you outgrow it, the upgrade for a business is ChatGPT Business rather than Plus, because Business adds admin controls and, per OpenAI, doesn’t train on your data by default. It costs $25 per seat monthly or $20 annually, with a two-seat minimum.
2. Gemini Free: best if you run on Google
If your email and documents are in Google, start here. Gemini’s free plan includes Deep Research, Gemini Live and image generation on the Flash-Lite model, plus 15 GB of storage with a Google account. For a solo owner, the $4.99 Google AI Plus plan doubles the free limits and adds 400 GB of storage, which can be cheaper than buying storage separately.
3. Fathom Free: best free meeting notes
Fathom has the most generous free plan in our database for small businesses: unlimited recordings and transcripts with instant summaries, for each individual user. Everyone who takes client or sales calls can use it at no cost. You only pay ($15 per user a month annually, two-user minimum) when you want a shared call library. See how it compares in Fathom vs Fireflies.
4. Canva Free: best free design tool
Canva’s free plan gives you its template library and up to 20 AI uses a month, enough for a handful of social posts, a flyer and a menu. The first paid step is Pro at $144 a year for one person, which unlocks the full Magic Studio and a brand kit.
5. Tidio Free: best free AI customer chat
Tidio’s free plan puts live chat on your website with 50 billable conversations and up to 10 seats. It also includes 50 conversations with its Lyro AI agent, but that is a lifetime allowance, per Tidio’s pricing page (checked November 3), so treat it as a trial. Keeping Lyro after that starts at $32.50 a month for 50 AI conversations.
6. Claude Free: best free tool for long documents
Claude’s free plan includes the Sonnet and Haiku models, web search, memory and connectors. It is a good second assistant for long contracts, proposals and policies. Limits reset every five hours, so heavy use will hit the cap. The team upgrade is $25 per seat monthly ($20 annually) for 2 to 150 seats.
7. Grammarly Free: best for customer email
Grammarly works inside your email and browser, which makes it useful for staff who write to customers all day. The free plan covers grammar and spelling and includes 100 AI prompts a month. Pro is $12 per member a month billed annually.
8. Otter Free: best for in-person meetings
Otter’s free Basic plan includes 300 minutes a month, capped at 30 minutes per conversation, with three lifetime file imports. It’s a good fit for short interviews and in-person meetings; for long video calls, Fathom’s unlimited free plan goes further.

When free stops being enough
Free plans are designed to be outgrown. Three signs it’s time to pay:
- Customer or employee data goes in. Free and individual plans may use your content to improve models unless you opt out, and they have no admin controls.
- Two people need the same thing. Shared libraries, brand kits and team workspaces are almost always paid features.
- Someone hits a cap every week. Pay for that person’s seat, not everyone’s.
When you get there, our best AI tools for small business ranks the paid team plans, and how much AI tools cost a small business shows budgets for teams of 1, 5 and 15.
Bottom line
Start with ChatGPT Free or Gemini Free, add Fathom Free for meetings and Canva Free for marketing, and put Tidio Free on your website if customers message you. Upgrade one seat at a time, starting with whoever handles customer data.
FAQ
What is the best free AI tool for a small business?
For most businesses, a free AI assistant (ChatGPT or Gemini) gives the most value, because it covers emails, social posts, product descriptions and research. Fathom’s free plan is the most generous single free plan we track, with unlimited meeting recordings and transcripts.
Is it safe to use free AI tools for business?
For non-sensitive work like drafting marketing copy, yes. Free and individual plans may use your conversations to improve models unless you change the settings, and they lack admin controls. Keep customer, employee and financial data on team or business plans.
Do free AI plans have ads?
ChatGPT’s Free and Go plans show ads to US users. The other free plans on this list are limited by usage caps rather than ads.
When should a small business upgrade from free AI tools?
Upgrade when someone hits a limit every week, when more than one person needs shared access to the same work, or as soon as customer data goes into the tool. For most small teams that first upgrade is one team assistant plan.
